Operations Specialist

Summary

Sustainable Harvest seeks a talented and versatile Operations Specialist to join our team in Oaxaca, Mexico. This role requires a high level of attention to detail, proactive communication, and project management skills. This role reports to the Director of Supply and Operations, and requires daily communication with exporters, customs agents, warehouses, and shipping agents. The position will operate primarily in Spanish, but requires bilingual conversational fluency in English.

 

Responsibilities

  • Permanent monitoring of traffic communication to identify issues and obstacles related to  shipments. Communicate proactively with relevant parties to solve issues. 
  • Daily communication with exporters, customs agents, warehouses and shipping agents to  ensure smooth processing of inbound traffic. Flag any issues with Operations team.
  • Process final set of shipment documents for payment, reviewing accuracy of detailed  information on documents, uploading scanned documents into Operations information system (RITS) when necessary, and  marking the contract Ready for Payment. 
  • File shipped contracts with insurance agent to ensure shipment is insured correctly. Process insurance data in RITS. 
  • Support elaboration of recurring shipment reports for key customers.
  • In support of Releases department, follow up with warehouses on pickups from port, missing  stripping reports, etc. 
  • During peak periods, support review of documents related to incoming shipments to ensure  correct data have been registered by exporter and to process the corresponding documents  in the Sustainable Harvest database. Flag any follow-up that needs to be coordinated. 
  • Proactively provide feedback to improve Operations processes and systems.
  • Support elaboration of recurring shipment reports for key customers. 

  •  Support Operations team in elaboration of reports for the Origin team, Sales team or Leadership team, with respect to Operations metrics

Qualifications and Experience

  • At least 5-7 years of hands-on experience with logistics in an international freight company 
  • Team player 
  • Meticulous, with a keen eye for detail 
  • Ability to work independently and remotely, but in permanent communication with the rest of the team 
  • Proactive, independent problem solver, within the boundaries of the job description 
  • Adaptability to changing circumstances in a fast-paced environment
  • Able to work under time pressure, working on multiple issues at the same time 
  • Eager to learn and grow in the job 
  • Spanish: Fluent – Native 
  • English: Conversational – Fluent

Salary

Commensurate with experience.
